Fields the user completes

  • Round-trip travel timeEnter total driving time from base to the service location and back.
  • Diagnostic timeInclude inspection, testing, fault isolation, and explaining findings.
  • Repair labor timeEnter expected hands-on repair, replacement, adjustment, and verification time.
  • Parts-handling timeInclude ordering, pickup, loading, returns, and job-specific parts administration.
  • Required labor rateUse the hourly amount required to cover technician time before job-specific costs and overhead.
  • Direct job costEnter parts, consumables, tolls, parking, fuel allocation, and other costs incurred only for this job.
  • Overhead allocationAllocate a reasonable share of insurance, vehicle, tools, software, administration, and other operating overhead.
  • Target operating bufferAdd a buffer for estimate uncertainty, rework exposure, and operating resilience.

Outputs the product creates

  • Total service timeAdds all travel, diagnostic, repair, and parts-handling time required for one appointment; require a result greater than zero before calculating capacity.
  • Minimum profitable chargeConverts total service time to labor cost, adds direct cost and overhead, applies the operating buffer, and enforces the service-call minimum.
  • Weekly appointment ceilingDivides usable weekly technician minutes after the capacity reserve by total minutes per appointment and rounds down to a whole-booking ceiling.
  • Quote and capacity decision codeReturns 2 for Decline when existing comparable bookings have reached the ceiling, 1 for Reprice when capacity exists but the quote is below the price floor, and 0 for Accept when both checks pass.

Embedded operating guidance

  • Calculate total service minutes as round-trip travel minutes plus diagnostic minutes plus repair labor minutes plus parts-handling minutes. Require at least one of these time inputs to be greater than zero before showing results.
  • Calculate the time-based cost as total service minutes divided by 60 and multiplied by the required labor rate. Add direct job cost and overhead allocation, multiply that subtotal by one plus the target buffer percentage divided by 100, then use the greater of that result or the service-call minimum as the minimum profitable charge.
  • Calculate usable weekly minutes as weekly available technician hours multiplied by 60 and by one minus the capacity reserve percentage divided by 100. The appointment ceiling is the whole-number floor of usable weekly minutes divided by total service minutes.
  • Report the largest of travel, diagnostic, repair, and parts-handling minutes as the limiting time bottleneck, including ties. Show a bottleneck warning when one category exceeds 50 percent of total service minutes.
  • Apply the decision in this order: Decline when already-booked comparable appointments are at or above the appointment ceiling; otherwise Reprice when the proposed customer price is below the minimum profitable charge; otherwise Accept. After an Accept result, remaining capacity equals the greater of zero or the appointment ceiling minus already-booked appointments minus one.
